Portal
Terms of Use
Effective date: October 11, 2026
These are the terms for using the Open-Book Locums portal. They are short because the portal is simple: it is where the physicians and facilities we work with log in to see and manage their work with us. Please read them; you accept them when you first use your account.
1. Who these terms are between
The portal is provided by Open Book Locums LLC, a locum tenens staffing company based in Texas (“Open-Book Locums”, “we”, “us”). “You” are the person using the account. If you use the portal on behalf of a facility or another organization, you confirm that you may act for it.
These terms cover the portal only. The work itself, including rates, assignments and payment, is governed by the separate agreement between your organization or you and Open-Book Locums. If these terms and that agreement disagree, the agreement wins.
2. Your account
- Accounts are created by invitation from our staff. One account is for one person; do not share it.
- You log in with your email address and a password. Keep the password to yourself, choose one you do not use elsewhere, and tell us straight away if you think someone else has used your account.
- You are responsible for what is done with your account until you tell us it has been compromised.
- Keep your name and email address up to date on the account page, so that we can reach you.
3. What the portal is for
The portal shows you information about your work with us and, as features are added, lets you record and approve things such as hours worked. Use it only for that. In particular, do not:
- try to see or change another person's information, or to get round any limit or protection;
- enter information you know to be false or misleading;
- enter information about patients. The portal is not for patient information, and we ask you never to put any in it, in a form, or in a message to us;
- use the portal in a way that breaks the law or harms anyone.
4. Your information
What we hold about you, why, and who sees it is set out in our privacy policy, which applies to the portal. Our model is open-book: as the policy explains, the physician and the facility involved in an assignment each see the rates and costs for that assignment.
5. Availability and changes
We try to keep the portal available and working, but we do not promise that it always will be. We may change it, add or remove features, or take it offline for maintenance. If the portal is unavailable, the information in it is still available from us by email or phone.
6. Ending access
You can delete your account at any time from the account page, unless you are a physician with assignments. The records of your time and pay belong to that account, so instead ask us and we will close it: you will no longer be able to log in, and the records are kept as the privacy policy describes. We may suspend or remove an account if these terms are broken, if the agreement with your organization or you ends, or if an account is unused for a long time. Ending access to the portal does not end your agreement with us, and records we must keep by law or under that agreement are kept as the privacy policy describes.
7. Our responsibility
The portal is provided as it is. To the extent the law allows, we are not liable for loss that comes from using or being unable to use the portal, from information in it being incomplete or out of date, or from anything done with your account by someone you let use it. Nothing in these terms limits a liability that the law does not allow to be limited, or changes what the agreement between us says about the work.
8. Governing law
These terms are governed by the laws of the State of Texas, and any dispute about them is to be brought in the courts of Texas, unless the agreement between us says otherwise.
9. Changes to these terms
If we change these terms, we will post the new version here and change the effective date at the top, and we will tell portal users by email if the change is significant. Using the portal after a change means you accept the new terms.
